Project Coordinator

Location: Anchorage, AK (Hybrid: 3 days in office / 2 days remote)

Compensation: $30.00 to $40.00 per hour, commensurate with experience

Employment Type: Full-Time

Reports To: Grants Program Director

Position Overview

We are seeking an organized, detail-oriented Project Coordinator to support a high-performing grant program team in a fast-paced infrastructure environment. This is a cross-functional support role that spans scheduling, procurement coordination, compliance documentation, and stakeholder communication. The ideal candidate is a strong administrative professional who drives action items to completion, communicates proactively, and brings order to complex, multi-workstream environments.

Key Responsibilities

Project Coordination and Scheduling

  • • Maintain master schedules, action item trackers, and milestone logs across multiple concurrent programs
  • • Monitor progress against key deadlines and surface risks or delays to program managers in advance
  • • Prepare meeting agendas, facilitate note-taking, and distribute action items with clear owners and due dates
  • • Follow up on outstanding action items to ensure completion, not just communication

Procurement and RFP Support

  • • Coordinate RFP preparation, posting, intake, and Q and A management in support of program managers
  • • Track change orders, contract execution milestones, and DocuSign routing workflows
  • • Support invoice review processes, including coordinating with vendors on proper line-item documentation and routing invoices to appropriate budget categories
  • • Reduce procurement pipeline bottlenecks by managing document handoffs and routing materials for timely review and approval
  • Document Management and Compliance Support
  • • Build and maintain organized shared document repositories, ensuring current and accessible records across all active programs
  • • Support compliance calendars, reporting deadlines, and deliverable submission tracking
  • • Assist in assembling and formatting reports, compliance packages, and stakeholder communications
  • • Maintain decision logs, risk registers, and project tracking tools on a consistent, up-to-date basis

Stakeholder and Outreach Coordination

  • • Coordinate scheduling, follow-up, and documentation for community and stakeholder engagement activities
  • • Serve as an administrative liaison to external contractors and vendors, tracking deliverables and flagging accountability gaps
  • • Prepare outreach materials, meeting summaries, and correspondence for external stakeholders
  • Qualifications

Required

  • • 3 or more years of experience in a project coordinator, project administrator, or program support role
  • • Proven ability to manage multiple priorities and track action items across complex, multi-stakeholder environments
  • • Strong written and verbal communication skills, including drafting meeting notes, status updates, and formal correspondence
  • • Proficiency with Microsoft Office Suite, including SharePoint, Teams, Excel, and Outlook
  • • Experience supporting procurement or contracting processes, including RFP coordination or contract administration support
  • • High degree of organization and follow-through, with a bias toward proactive communication

Preferred

  • • Experience supporting federal grant-funded programs or infrastructure projects
  • • Familiarity with grant compliance requirements, reporting obligations, or post-award administration
  • • Experience with project management platforms such as Smartsheet or similar tools
  • • Background in telecommunications, broadband, or construction project environments
  • • Experience working with tribal organizations, rural communities, or government stakeholders

Work Environment

This is a hybrid position based in Anchorage, Alaska, requiring three days per week in the office and two days remote. The role operates in a deadline-driven environment supporting active, multi-phase programs. Occasional travel to project sites or stakeholder meetings may be required.
